If you are serving food or drinks in any way (even samples) you need a food permit.  If you have questions about food permits please contact the Health Department directly.  Big Top Entertainment cannot answer questions about permits or whether or not you need one.

EXHIBITOR TOOL KIT
You should want to do your best, look your best and make the best sales!

Tent: the correct size for your booth, bowing legs do not work.  Branded tents are a plus.  White tents are highly recommended over any other color. Click here for custom tent suggestions.

Banners & Signs: banners should be in good quality, old banners should be retired.  Ideal banners are the same width as your tent and 8 - 10 foot tall.  Click here for my go-to banner maker.

Backdrops:  The most important part of your display, a professional backdrop adds a level of professionalism and trust to shopper's eyes.  Click here for my favorite backdrop printer.

Power/Electricity: being power independent is a great way to save money when you do multiple shows a year.  Click here for my blog post on good buys.

Reliable WIFI: pay-as-you-go wifi hotspots, or one with your regular service provider, are a great way to add reliability to your credit card reader.  Click here to see the one I use.

Fire Safety: it is required that you have a fire extinguisher in your booth at all markets.  It must be ABC rated, click here for an example.

Bugs/Pests: this is an outdoor event.  It is smart to have the following with you: sunblock, chapstick, mosquito spray and ant killer.

HOUSE KEEPING

Trash/dumpster usage: there is an on site dumpster for all Exhibitor trash and boxes. Dumpsters are located at the end of Simonton Street.  Break down boxes before placing them in the dumpster.

Food Vendors: State of Texas law requires that grease and cooking oil be disposed of in an approved facility.  The dumpster is not approved.  You must take all oil and grease with you off site and dispose of it properly. 
 
SET UP SCHEDULE

We have found that there is a steady stream all day and not a "good time" or "bad time" to come.  The earlier you come the cooler it is.  Lunch time and after 6p tend to be the busiest.

Main Market, Music Stage & Big Top Tent: 

THURSDAY, FEB 23: 10AM-5PM
FRIDAY, FEB 24: 10AM - 8PM
SATURDAY, FEB 25: 7AM - 8:30AM

Boutique Trucks, Food Trucks:

You were emailed your assigned/scheduled time.

All other booths including Simonton Street, San Jacinto Street, Metcalf Street, Newton Street, Boutique Trucks, Food Trucks: 

 

 

All set up must be completed 30 minutes prior to the start of the market.

Saturday Move in Schedule:  there are no vehicles permitted in the festival grounds on Saturday.  Set up begins at 7am until 8:30am.  Saturday, you will have to carry/dolly/wagon your items into the market and the grounds are very large - it is a long haul.  We highly discourage anyone from setting up on Saturday morning, it is a long haul from the unload zone to your booth.

 

YOU MUST BE ON SITE DURING ALL MARKET HOURS.
Failure to be on site may result in you being ejected from the market, your booth will be taken down and removed from the event.
 
 
 
EXHIBITOR & TRAILER PARKING

Set up days - Thursday & Friday

You may park anywhere that is legal.  Please be mindful that businesses are still open - keep your eyes open for tow signs.  There are also several churches in Downtown Conroe that are closed during the week.

Parking on market days - Saturday & Sunday

Do not park in the free parking garage - this garage is for your shoppers.   

 

Official Exhibitor Parking: "Juror Parking Lot" located at 129 N Main Street, Conroe TX 77301

The juror parking lot is within walking distance of the market, and is located behind the Owen Theatre at 129 North Main St., Conroe, Texas 77301. It has a giant sign designating it as juror parking- you can’t miss it. You can access the parking lot going South on North Thompson.

Exhibitor handicap parking - we do not reserve spaces near the market for exhibitor handicap parking.  Please drop off anyone in your party who is handicap then go park your vehicle. 

 

TRAILER PARKING 

You can leave your unhitched trailer for the entierty of the event.  Trailer parking is first come first serve.  Under the Big Top Tent exhibitors have access to trailer parking within the market grounds.  All other Exhibitors should take their trailer home or park unhitched in the Juror Parking Lot.

 

 

A personal note from Melissa: please remember that customers are coming to shop with you - and spend money with you - providing customers with the prime "front row" parking spaces makes THEM happy, and they will then make YOU happy.  Do not take street parking close to the market.  Just remember that customers who can't find parking LEAVE and don't shop. If you think you as one exhibitor can break the rules and it will not be noticed you are mistaken, we have 300 exhibitors some with multiple vehicles - you will not be the only one to have this thought.

 
 
 
BREAKDOWN PROCESS

LOAD OUT OPTIONS:

Breakdown starts Sunday, November 20th at 5pm OR when customers leave the market - YES we have paying customers still shopping at closing.

  • At the close of business, break down your booth completely.
     
  • Ensure no trash is in your booth; this includes rubber bands, zip ties, plastic wrap, empty boxes, food trash and anything that you don't want to take home with you.
     
  • Dumpsters are provided at the end of Simonton St.
     
  • When you are packed and ready to go, find an attendant - we will be wearing safety vests. 
     
  • The attendant will inspect your booth and if you are good-to-go you will be given a breakdown pass.
     
  • Once you have a breakdown pass you can begin to load out.

  • You will be able to drive up to your booth for both load in and load out.

  • DO NOT BREAK DOWN EARLY.
Main Market Load Out: we are able to clear everyone out of the Main Market in about an hour an a half!  That's pretty impressive!  The theme of break down is GO WITH THE FLOW. 
Main Market loads out in the following order:
  • Wagon/dolly out by walking
  • Vehicles only
  • Vehicles with trailers & Uhauls
There is no phyical way to get a trailer into the Main Market until we clear out tent vendors - your trailer literally will not fit down the isles and you cannot make turns.  Just pack up and relax, you will be out quickly, but come with realistic expectations.

Enter grounds at the intersection of San Jacinto St & Simonton St (see map below).
 
   ALL Exhibitors will enter for set up at the intersection of Simonton and San Jacinto.
 
Simonton will become a one-way street for set up.  Do not attempt to enter the event from any other direction.  Follow the provided map.
 
 
ROSTER & ASSIGNMENTS
Upon arrival for set up, please come down W. Davis St., turn onto San Jacinto Street, and checkin will be at the intersection of San Jacinto St. and Simonton St.. If you try to enter on Simonton St. from either direction, you WILL BE TURNED AROUND.  MAP ABOVE
